This page describes all functionalities for the Signing365 App Info | If you haven’t configured Signing365 yet, please do this first before using the app. Use the Signing365 Setup page to guide you through the setupWith Signing365 you can have documents digitally signed by your customers and suppliers from Business Central (“BC”). After signing, these documents are automatically and securely archived within BC and can always be retrieved from BC. Open a Contact Card and choose “Signing”, “Signing wizard” to start a new transaction

Start Signing wizard |
Select a Signing Account. This Signing Account is used as the sender for the transaction. In addition, Signhost will send updates on the status of the transaction to the associated email address.
Select a Transaction Type (optional - if configured). Transaction types help recognize and group Transactions.
Verification: Select at least one Authentication Type and a maximum of three Please note that the selected options are also configured in the Signhost account.

Creating a new Signing transaction. |
Choose the Validity Period of this transaction. The transaction expires after the Validity Period. Halfway through the Validity Period, Signhost sends an email reminder to recipients who have not yet signed or rejected the transaction.
Sequential : By default, a transaction is offered to recipients in sequence. Disable this option if all Contacts should be offered the transaction at the same time instead of in order as recorded in the column “Signing queue position”
Add additional Signing contacts if necessary. And define the order in which signing should take place using the column “Signing queue position”

Click on “Validate Contacts”. This function validates the order of the queue positions created and the email addresses entered

Upload the documents that need to be signed. At least 1 document, maximum 10 documents. Only documents with the extension “.pdf” are supported
Choose “Next” You have finished preparing this Transaction. Click on “Start Transaction” to start the Transaction and send it to recipients
2. Process of a transactionThe status of the transaction can be followed in the “Transactions” fasttab on Contact Card, Customer Card, Supplier Card or Project Card. Fasttab “Transactions” shows all Transactions for the selected record. The following actions can be performed here: Start transaction: Use this function to manually start a previously aborted transaction (created through the Wizard) and submit it via Signhost.
Get transaction status: This checks the Transaction Status with Signhost for the selected transaction; Transactions are automatically updated periodically using job queue entry 11295466 BBS_TransactionUpdateSchedule.
Download document from BC: This allows the documents offered to be downloaded from BC. Before completion of the Transaction, this concerns the original document (without signatures). After completion of the Transaction, the document will be replaced by a version with signatures.
Download transaction receipt from BC: This will download the Signhost Transaction receipt from BC. This Transaction receipt is available after completion of the Transaction. The Transaction receipt can be used for audit purposes.

After signing, the recipient will be redirected to the “Thank You” URL (page) as set in Signing365 Setup After all signatory(s) have successfully signed the Transaction, an email will be sent from Signhost to the signatory(s) containing a copy of the signed document

The signed document and the associated Transaction receipt are stored and archived in BC. These can be downloaded from BC at any time.

Delete Transaction: Use this action with caution. The Transaction and associated (signed) documents are immediately removed from BC. This action cannot be undone.

4. Variants of Signing WizardIn addition to the regular Signing Wizard (on Contact Card, Customer Card, Supplier Card and Project Card), there are a number of variants of the Signing Wizard that simplify use and add more functionality. Signing Wizard (based on previously linked attachments)You can find this version of the Wizard on Contact Card, Customer Card, Supplier Card and Project Card. With this Wizard, attachments can be linked to the card and then used in the Wizard. So that there is no need to link the attachments while running the Wizard. Open (for example) a Customer Card Upload attachments to the “Attachments” fact box, for example using Drag-n-Drop from Windows Explorer or Microsoft Outlook

Signing Wizard (batch)You will find this version of the Wizard on the Contacts list. This Wizard makes it easy to create a transaction “in bulk”. For a selected list of contacts. For example, when a document needs to be signed by a set of Contacts. Think of General Terms and Conditions, House Rules, etc. Open the Contacts list in BC Select one or more Contacts Choose “Signing”, “Signing wizard (Batch)

There is no limit to the number of Contacts selected. In addition, there is no order applicable. A Transaction is created per contact and offered via Signhost. For performance reasons, we recommend not using Signing wizard (batch) for more than 150 contacts at the same time. |

You can find this version of the Wizard on the Project Card. With this Wizard you can define a fixed set of recipients of documents per Project. These recipients are then selected for all transactions created for that project. This is useful when project-related documents need to be signed (and therefore approved) frequently. Open a Project Card in BC The Project Contacts can be recorded in Fasttab “Project Contacts”.
